Hotel Accommodations

Rooms have been reserved at hotels around Conference venue (The National Olympic Memorial Youth Center) by KNT. For room reservation, please send the Registration Form by internet or fax to KNT by November 14, 2003. Reservation should be accompanied with the payment of room deposit and no reservation will be confirmed in the absence of the payment. Hotel reservations are proceeded on first-come-first-served basis. If your selected hotel is fully booked, we will make a reservation at your second choice hotel. After application deadline, KNT will send a confirmation slip informing the confirmed hotel name, and the exact room charge.

Hotels in Shinjuku Area

*Airport Limousine Bus Services are available for all the above hotels.
1) All room rates are per room per night including 10% service charge. 5% consumption tax and local taxes are excluded.
2) The above rates are valid only during the period of Eco Design 2003
3) The deposit will be deducted from your hotel bill. Please settle the balance at the hotel cashier.
4) Those who will stay for one night only should send one night room charge instead of deposit.
5) The above rates and the information are subject to change without notice.

Stay at National Olympic Memorial Youth Center
This center is a public training facility for young people. The number of rooms is limited (Max. 60 rooms)
Please confirm the conditions below.
Conditions:
* Room Rate : 5,000 yen (incl. communication fee of 700 yen and tax) per night.
* 1 beded room with bathroom and telephone.
* Doors closed at 23:00 o'clock.
* No bed-making service available. No smoking in all the rooms.
* Reservation is valid only from December 8, 2003 (Check-in) until December 11, 2003(Check-out).
* Reservation can not be accepted after the deadline.
* No cancellation and No refund.
The other information will be informed you when you arrive at the center.

HOW TO BOOK
Please confirm the payment method and cancellation policy in advance.

Download the Registration Form and fill in your information. Then send it together with the payment to Kinki Nippon Tourist Co., Ltd. (KNT), the official travel agency for the Conference.


PAYMENT
Payment of registration fee and the hotel deposit should be made only in Japanese Yen by one of the following methods.
1) Credit Card (VISA, MasterCard, American Express, Diners Club, or JCB only.)
Please fill in the necessary items with your signature in the credit card section of the registration form.

2) Bank transfer to: Bank: Sumitomo Mitsui Banking Corp. Chuo Branch Account No: 1855046 Account Name: Kinki Nippon Tourist Co., Ltd * Please attach a copy of bank receipt to your registration form.

CONFIRMATION
KNT will send you a confirmation slip after application deadline, November 7, 2003, informing the completed pre-registration, and hotel reservation along with the name of your hotel and necessary information. Please be sure to bring the confirmation slip when you register at the conference venue and when you check-in at your hotel.

CANCELLATION
In case of cancellation, a written notification should be sent directly to KNT to avoid any trouble. The cancellation charges are:

Up to 14 days prior to check-in date -------- No charge
13 - 7 days prior to check-in date --------- 10% of daily room charge
6 - 2 days prior to check-in date ---------- 40% of daily room charge
Less than 2 days, or no notice given --------- 100% of daily room charge

REFUND
Refund will be made during or after the conference period, after deducting bank and/or credit card service charges and the cancellation penalties. If payment was made by credit card, refund will be made to the same credit card, and if by bank transfer, please inform us of your bank account. Communication fee is not refundable.
